Pay Rate: $15.00-17.00$ Hourly

Job Summary:
We are seeking a highly organized and dependable Office Manager to oversee the daily operations of our growing medical office. Our practice provides a range of health, testing, and wellness services to individuals, families, and businesses. The Office Manager will ensure smooth front and back-office functions, manage scheduling, maintain compliance with medical and legal requirements, and deliver excellent customer service. This role requires strong leadership, attention to detail, and the ability to balance administrative duties with hands-on support in a fast-paced, service-oriented environment.
Key Responsibilities:
ï‚· Oversee day-to-day office operations to ensure an efficient, patient-focused environment.
ï‚· Manage staff scheduling, workflow, and training to support business needs.
ï‚· Coordinate appointments and ensure accurate, timely completion of drug tests, physical, and DNA/paternity testing services.
ï‚· Maintain compliance with HIPAA, DOT, and court regulations related to medical records and testing.
ï‚· Monitor inventory of medical and office supplies, placing orders as needed.
ï‚· Assist with billing, payments, and insurance documentation when applicable.
ï‚· Prepare and maintain accurate reports and records for internal use and external agencies.
ï‚· Address patient, client, and court inquiries with professionalism and confidentiality.
ï‚· Implement and improve office policies, procedures, and best practices.
ï‚· Support business growth by fostering strong community and client relationships.
Qualifications:
- 2+ years of office management or supervisory experience, preferably in a medical or testing environment.
- Strong knowledge of office administration, scheduling, and recordkeeping.
- Familiarity with compliance standards in healthcare and court-related services.
- Excellent communication, organizational, and leadership skills.
- Proficient in Microsoft Office Suite and electronic medical records (EMR) systems.
- Ability to handle sensitive information with discretion and professionalism.
- Phlebotomist Certification requested
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to stand, walk, bend, and reach as needed to assist with office and patient needs.
- Occasionally lift and carry up to 20 pounds (supplies, files, or office equipment).
- Ability to communicate clearly in person and over the phone.
- Must be able to maintain focus in a busy environment with frequent interruptions.
