Job Description
 
Job Title:              Contract Manager
Reports To:  President
Payrate: $80 – 90k per year
 
 
SUMMARY 
Responsible for sales and administration of designated contracts.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
 
Responds to telephone and written inquires in regard to customer orders to meet customer requirements and act as a liaison between the company and customers and resolve customer
complaints.
 
Contact vendors to determine availability of parts.
 
Provide complete cost estimate and data to President for approval.
 
Write up S/O order form for new contract awards.
 
Assist engineering staff in creating bill of material.
 
Provide pricing and support data to customers and establish payment terms in accordance with company policy, including milestone billings and invoicing.
 
Prepare the DD250 invoice form and process for inputting approval and distribution.
 
Monitor test schedules and line item schedules to assure compliance with contract terms and prepare integrated milestone schedules as required.
 
Review and distribute data items required by customers in accordance with contract requirements.
 
Interface with engineering, manufacturing, production and shipping to assure compliance and conformance to contract requirements and schedules.
 
Attend bid conferences.
 
Review changes to procurement regulations, FAR and DFAR changes, and advise management of relevant changes.
 
Supervise contract administrators.
SUPERVISORY RESPONSIBILITIES 
Directly supervises 2-3 employees.  Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing and training employees; planning, assigning and directing work; appraising performance; addressing complaints and solving problems.

EDUCATION and/or EXPERIENCE 
B.S. in Business Administration or equivalent contract administration experience.
3 to 5 years experience in contract administration.
Strong attention to detail.
Strong interpersonal and negotiation skills.
Computer literate.
 
LANGUAGE SKILLS 
Ability to read, analyze and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers and regulatory agencies. Ability to effectively present information to top management.
 
MATHEMATICAL SKILLS 
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
 

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
 
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; sit, use hands to finger, handle, or feel, and reach with head and arms. The employee is occasionally required to walk and stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
 
WORK ENVIRONMENT  
While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The noise level in the work environment is usually quiet.
