Debbie’s Staffing is seeking a Legal Administrative Office Coordinator for our Client in Greensboro, NC!
Pay Rate: $18/hour
Schedule: 8:30am-5:00pm Monday-Friday
Job Summary:
The Legal Administrative Office Coordinator is responsible for supporting the daily operations of a busy real estate law office. This role oversees administrative workflow, client coordination, document management, and office organization to ensure efficient processing of real estate transactions and legal documentation.
This position plays an important role in ensuring accuracy, confidentiality, and smooth coordination between attorneys, clients, and real estate professionals.
Key Responsibilities
- Oversee day-to-day office operations to ensure an organized and efficient legal environment.
- Manage administrative workflow including real estate closing documentation, file preparation, and client correspondence.
- Coordinate schedules for attorneys and clients related to property closings and legal appointments.
- Prepare, organize, and maintain legal files, closing documents, contracts, and property records.
- Assist with document collection, title-related paperwork, and closing preparation.
- Maintain accurate records and reporting for internal tracking and compliance requirements.
- Respond to client and real estate agent inquiries professionally and with discretion.
- Monitor office supply inventory and order materials as needed.
- Assist with billing, invoicing, and administrative financial documentation when required.
- Help maintain and improve office procedures and administrative processes, especially within systems that are currently outdated.
- Support attorneys and staff to ensure timely and efficient real estate transactions.
Qualifications
- 2+ years of administrative, office management, or legal support experience, preferably in a law office, real estate office, or professional services environment.
- Familiarity with real estate transaction processes, legal documentation, or closing procedures is preferred.
- Strong organizational skills with the ability to manage multiple files, deadlines, and schedules.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Office Suite.
- Ability to work with legacy or outdated office systems and maintain accurate records.
- High level of confidentiality and professionalism when handling sensitive legal and client information.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to stand, walk, bend, and reach when organizing files or assisting with office tasks.
- Occasionally lift or carry up to 20 pounds (files, office supplies, or equipment).
- Ability to maintain focus in a busy office environment with frequent interruptions.
- Must be able to communicate clearly in person and over the phone.
